The ITR documents checklist: gather the week before, file in an hour
Filing a return takes about an hour. Finding the twelve documents it needs takes the week before, every year, because none of them arrive at the same time or from the same place. The fix is not filing earlier. It is a list that exists in January and fills itself in by July.
The list
- Form 16 from each employer you had during the year, with Part A and Part B.
- The annual information statement and Form 26AS from the tax portal, which show every amount reported against your PAN: salary, interest, dividends, sales of shares or property, high-value spends.
- Interest certificates from every bank and post office account, including the ones you forgot you had.
- Capital gains statements from each broker and mutual fund house, with the purchase and sale dates and costs.
- Rent receipts and the landlord's PAN if you claim house rent allowance, and the home loan interest certificate if you claim the deduction instead.
- Proofs for the deductions you claim: life and health insurance premiums, tuition fees, provident fund and pension contributions, donations with the receipt that carries the registration number.
- Last year's return and its acknowledgement, for the carried-forward losses and the numbers that should not change.
- Bank account details for the refund, pre-validated on the portal.
Why it is a week
Form 16 arrives in June. Interest certificates are downloaded, one bank at a time, from apps that each hide the option somewhere different. Broker statements have to be requested or generated for a financial year rather than a calendar year. The donation receipt was a photo on a phone that has since been replaced. Each item is five minutes; the week is the remembering.
Reconcile before you file
The one check that prevents a notice: every interest, dividend and sale that appears in the annual information statement should appear in the return, and every tax deducted in Form 26AS should be claimed. A mismatch in either direction is what generates a letter months later. Ten minutes with the two documents side by side is the whole exercise.
The habit
Keep one place for the year's tax documents and put each item there the day it arrives. The interest certificate when the bank emails it in April, the premium receipt when it is paid in March, the donation receipt at the moment of giving. By June the folder is three-quarters full and the return is the hour it should be.
Setting it up once
In EasyDooo, the income tax return template in Bills and dues creates the yearly due with a reminder ahead, and it carries a checklist of the documents to gather. The checklist is added as steps to each year's task, so the list above is ticked off inside the reminder rather than kept in your head. The due date for an individual without an audit requirement is normally 31 July, and it has been extended in some years; the template reminds you ahead of the date you set.
