What each part of EasyDooo does, and the bits that would otherwise catch you out.
Getting started
EasyDooo keeps two separate workspaces — Personal and Work — and almost every page shows one of them at a time. Tasks, projects, budget entries, trips and people all belong to the workspace you were in when you created them. If something you added has disappeared, the workspace switcher at the top of the sidebar is the first thing to check.
The Calendar is the deliberate exception: it merges both workspaces into one grid so you can see your whole week at once.
There is a search box in the header that reaches across tasks, projects, ideas, trips and people, and a quick-add bar at the top of the Tasks page that understands plain English dates.
Nearly everything you delete is hidden rather than destroyed, but the app gives you no way to bring it back, so treat every delete as final. The two genuine exceptions are noted where they apply: deleting a budget entry or a reminder takes effect on the first click with no confirmation, and Delete Account really does remove your data.
Tasks
Tasks is the to-do list for the workspace you are currently in — the page shows either your Personal or your Work tasks, never both at once. You can capture a task in one line or with a full form, tick it off, drag it between To Do, In Progress and Done, and open any task for its checklists, comments and time tracking.
- Add a task in one line
- Type into the quick-add bar above the list — pressing N anywhere outside a text box jumps you to it — using !high, !med or !low for priority, #tag for tags, and words like today, tomorrow, next monday or 3pm for a due date. Press Enter or click Add, and the parsed values become the new task.
- Create a task with all its fields
- Click Add Task in the page header. The dialog covers title, rich-text description, start and due date, priority, tags, estimated cost and time, a recurrence rule, cover colour or image, assignee, dependencies, and a linked trip when you have trips. A recurrence rule such as FREQ=WEEKLY makes a fresh copy appear with the next due date once you complete the task, and an estimated cost is also written into your budget under a Tasks category.
- Tick a task off, or reopen it
- Click the checkbox on the left of a task card. Unticking a finished task sends it back to To Do rather than In Progress, and a task that depends on unfinished tasks refuses to complete and tells you how many it is waiting on.
- Move a task between To Do, In Progress and Done
- Hover a card and drag it by the grip handle — on the left in list view, top right in board view — into another group or to a new position in the same one. The status and order are saved when you drop it, and releasing over empty space or pressing Escape puts the card back where it was.
- Open a task for details, checklists, comments and time
- Click a card's title, or choose Edit details from the menu at its right. Fields on the Details tab save when you click out of them — except the description, which saves only when you press Save Changes — and this is where Start Timer lives. Each AI Breakdown run adds new checklists rather than replacing the ones already there.
- Switch views, filter and search
- The three buttons in the header give you list, board and calendar views, and the badges beneath filter by status, priority and project — the project row lists at most five. Search matches a task's title and description only.
Worth knowing
- In the quick-add bar, @person and /project match against your people and projects by name, and a unique prefix is enough — @sarah finds Sarah Chen. If what you typed matches nothing, or matches more than one, the task is still created and the toast tells you which part was left off.
- Typing in the search box or clicking any filter switches dragging off, and the grip handle stops appearing. Clear the search and the filters to reorder or move tasks again.
Projects
Projects group related tasks and track how far each piece of work has got. The same set of projects can be seen as a kanban board, a compact list or a timeline, and each project carries its own tasks, notes, milestones and activity log.
- Create a project
- Click Add Project in the page header, give it a name, and click Add. The same form takes a deadline, status, priority, cost, tags, an assignee picked from your people, and a colour or emoji.
- Move a project between board columns
- On the board, grab a card by the grip handle at its left edge and drop it into Backlog, In Progress, Review or Done. The new status saves the moment you let go; if the save fails you get an error toast and the card returns to where it was.
- Switch between board, list and timeline
- Use the three icons at the top right. The timeline draws each project as a bar running from the date you created it to its deadline, against a Today marker.
- Add or link tasks to a project
- Open a project and go to the Tasks tab. Type a title and press Enter to create a task already attached to it, or click Link Existing to pick up a task that is not yet in any project. On each row the checkbox marks the task done, the unlink icon detaches it, and the folder icon moves it to a different project.
- Track milestones
- In the Milestones tab type a name, choose a percentage from the dropdown — 10, 25, 50, 75, 90 and 100 are the only choices — and click the plus. Click a milestone's checkbox, or its marker on the progress bar, to flip it between reached and not reached.
- Keep notes on a project
- In the Notes tab, write in the editor and click Add Note. Notes list newest first, and the first 80 characters of each also appear in the project's Activity tab.
Worth knowing
- You can drag cards around inside a column, but only a change of column is saved. Reordering within the same column is lost on the next refresh — the board always lists projects newest-created first.
- A project whose status is Done drops out of the list and timeline views. Turn on the Done toggle in the header to see it again, and note that the toggle only appears once you have at least one finished project. The board is the exception: its Done column shows them either way.
- Deleting a project detaches its tasks rather than deleting them, as the confirmation says — they stay in Tasks with no project, and can be linked to another one. The delete itself cannot be undone from the app.
Planner and Calendar
The Planner is your working day: a day, week, month or year view of everything with a date on it, plus a sidebar for today's tasks, reminders, budget and ideas. The Calendar is the read-across view — it merges both workspaces into one grid so you can see Personal and Work side by side, which the Planner never does.
- Add a reminder by typing when it is due
- Click Reminder in the Planner header and type the whole thing into Title, timing included — "call mom tomorrow at 5pm". The date and time fields fill in as you type and the phrase is stripped out of the saved title, so the reminder ends up called "call mom".
- Put an event on the calendar
- Click Event in the Planner header and give it a title and a start; an end, a description, an all-day toggle and one of nine colours are optional. Ticking All day switches the pickers from date-and-time to date only, and the end picker will not let you choose a date before the start.
- Schedule something into a specific hour
- In the Planner's Day view, hover any hour row and click the "+ Add at 9 AM" strip. The reminder dialog opens with that date and hour already filled in.
- Order and clear your day
- In Plan My Day, drag the grip handle at the left of a row to reorder today's tasks — the order is saved and survives a reload. Click a row to open it in Tasks, or tick its checkbox to mark it done.
- Add a task straight onto a date
- On the Calendar's Month view, click any day cell, or the small + in its corner, to open a one-line box on that day. Type a title and press Enter or click Add; press Escape to close it without saving.
- Change the range and hide a workspace
- The Day/Week/Month/Year switcher, the arrows and the Today button move both pages around. On the Calendar only, the Personal and Work pills toggle each workspace in and out of the grid. In Year view, click a month heading to open that month or any date to open that day.
Worth knowing
- Deleting a reminder or a calendar event happens on the first click, with no confirmation step. The row is hidden rather than destroyed, but nothing in the app will bring it back, so treat it as final.
- A task you quick-add from the Calendar month grid always lands in your Personal workspace, even when Personal is hidden and only Work is showing. The pills filter what is displayed; they do not decide where new items go.
- Plan My Day always shows tasks due today plus anything overdue, whatever date you have navigated to, and lists at most 8. Ticking one off saves the change, but the row stays on screen until you reload. The Reminders list is capped at 8 the same way.
Budget
Budget is where you record what you earned and spent, and see the totals, category breakdown and trends for a period you choose. It is split by workspace, so the page shows only the entries belonging to whichever workspace is currently active.
- Add an income or expense entry
- Click Add Entry in the page header, or the same button in the empty state. Pick Income or Expense, type an amount, set a date, optionally add notes and a category, then click Add Entry.
- Change the period you are looking at
- Use the Day / Week / Month / Year switcher in the header. The Income, Expenses and Balance cards, the category and trend charts, and the entries list are all recalculated from the entries falling in that period, and the line under the header tells you which period matched and how many entries.
- Create the categories the entry form offers
- The entry form lists only categories you have already made, and shows a link to Settings when you have none. In Settings, open the Budget Categories card, choose the Expense or Income pill, type a name and add it. Categories belong to the active workspace, and the picker shows only those matching the entry type you selected.
- Link an entry to a project, task or trip
- In the Add Budget Entry dialog click "Show Advanced Links". Each picker appears only if that workspace has something to link to, and once saved the entry's row shows a badge that takes you to the linked item.
- Delete an entry
- Hover the row in the Entries list and click the trash icon at the right end. There is no confirmation — it goes as soon as you click.
- Export the period to CSV
- Click Export CSV in the header for a file of the entries currently shown, with date, type, category, amount, notes and project columns. It covers the selected period rather than your whole history, and the button is hidden on narrow screens.
Worth knowing
- There is no way to change an entry once it is saved. Deleting and re-adding is the only correction, the first click deletes with no confirmation, and nothing in the app will bring the entry back.
- The "Balance by Month" chart ignores the period switcher — it always plots the last six months, because a running balance that restarted every month would not be a balance. The other two charts and every figure above them do follow the period you pick.
- Expenses recorded against a trip appear in this list but cannot be touched here: they always show under a "Travel" category, carry no category or project of their own, and have no delete button. You can remove them from the trip itself, but there is no way to edit a trip expense anywhere in the app. They still count toward the totals and the charts.
- Three ratio cards appear only under their own conditions. "Monthly Target" needs the Month view and a target saved in Settings; "Savings Rate" appears whenever the period had any income; "Against Category Limits" needs the Month view too, plus per-category monthly limits — and no control in the web app sets a category limit, so in practice that card stays hidden.
Travel
Travel is where you plan trips and track what happens on them: dates and budget, who is coming, shared expenses and who owes who, a day-by-day itinerary, and a packing list. Trips belong to the workspace you were in when you created them.
- Plan a trip
- Click Add Trip and fill in a destination, a start date and an end date; budget and notes are optional. The button stays disabled until the destination and both dates are filled in, and an end date earlier than the start is rejected when you save.
- Add the people on the trip
- Open a trip, go to the Expenses tab, and use the plus button on the Participants card. Pick yourself ("Me") or any person from that trip's workspace. Add yourself first if you want your own spending to count as yours.
- Record an expense and split it
- On the Expenses tab click Add Expense, then enter a description, an amount and who paid. Choose Split Equally to divide it across everyone, or Exact Amounts to type each person's share — exact shares must add up to the total or the save is rejected.
- See who owes who
- The Who Owes Who card nets every expense against every split and lists the payments that clear the balances, so nobody has to work it out. It says "All settled up!" when nothing is outstanding.
- Build a day-by-day itinerary
- On the Itinerary tab click Initialize Itinerary to create one empty day per date of the trip, then type into the "Add an activity..." box on any day and press Enter. Hover an activity and click the X to remove it. Suggest with AI fills days in for you.
- Keep a packing list
- On the Packing tab type an item and click Add Item. Click a row to tick it off or untick it, and use the trash icon that appears on hover to remove it. The packed count shows on the trip card and in the trip header.
Worth knowing
- Once a trip is created you cannot change or delete it from the web app — there is no edit or delete control on the trip list or the trip detail page. A wrong destination, date or budget stays as typed, so get them right at creation time.
- Trip expenses show up in your Budget module: saving one files your own share under an auto-created "Travel" category — only your share, and only if you are on the trip with a share above zero. Deleting the expense deletes that budget entry too.
- "Suggest with AI" warns that it will replace your activities, but it does not: days you have already planned are kept and only empty days get filled. The plan comes from a live model when one is configured and from a built-in template otherwise, so an offline suggestion is generic rather than real places.
People
People is your list of people, with a detail panel that pulls everything connected to one person — logged interactions, tasks assigned to them, shared trip expenses and reminders — into a single timeline. Each workspace keeps its own set of people.
- Add a person
- Click Add Person at the top right, fill in the name — email and phone are optional — and click Save. The person is created in whichever workspace you have active, so switch first if you want it filed under the other one.
- Edit a person's details
- Select someone, click Edit in the detail header, and change their name, email, phone, role or company. Role and company can only be set here; the Add Person form does not ask for them.
- Log an interaction
- With a person open, click Add Interaction above the timeline, pick a type — Note, Call, Meeting, Email or Coffee — type what happened, and click "Log it".
- Generate an AI catch-up brief
- Open a person and click AI Brief in the detail header for a summary, talking points and recent activity built from that person's logged notes, trips and interaction count.
- Import people from a file
- Click Import, then drop a .csv or .vcf file or click to browse. A preview table lets you untick anyone you do not want before confirming, and any rows that fail are listed with their errors. An Import from Google button also appears, but only when the app has been configured with a Google client ID.
- Find someone in a long list
- Type in the search box to match on name, email or phone, and narrow further with the Location, Company and Tag dropdowns — which offer only values that already exist on your people.
Worth knowing
- Logging a Meeting or a Call also creates a one-hour calendar event in Planner, titled "Meeting with …" or "Call with …". Any interaction type marks the person as contacted on that date, which resets their catch-up timer.
- The Health Score and the "Time to Catch Up" list only do anything once a person has a check-in cadence. Set one with "Check in every" in the person's Edit form; people left on "No reminder" always show 100%, because there is nothing to be overdue against. The score counts from your last logged interaction and drops as you go past the cadence.
- Deleting a person cannot be undone from the app. The confirmation warns you, and there is no restore, undo or archive view — the person simply leaves every list.
Idea Vault
The Idea Vault is where you capture rough ideas and work out whether they are worth doing. You can tag and prioritise them, ask the AI to expand one into action steps or score it with RICE, and turn a promising one into a task or a project.
- Capture an idea
- Click Add Idea, fill in a title, and click Save Idea — the button stays disabled until the title has text. The dialog also takes a description, Source, Use Case, an Instagram link, a priority, and tags picked or typed as a comma-separated list.
- Edit or delete an idea
- Click any idea card to reopen it with its fields filled in, change what you need, and click Update Idea. The trash icon in the dialog header deletes it after a confirm prompt, and nothing puts it back.
- Filter the vault and switch layouts
- Click a status pill — Raw Idea, Exploring, Planned, Archived — to show only those, and click it again or All to clear. Each pill carries its own count, and the two icons beside Add Idea switch between the card grid and a compact list.
- Expand an idea with AI
- Open an existing idea and click "Expand with AI" for a longer description plus action steps, challenges, related ideas and a market-potential line. Regenerate inside the panel gives you a fresh pass.
- Score an idea with RICE
- Open an existing idea and click "Score with RICE" for a score and its four factors — Reach as a count, Impact as a multiplier, Confidence as a percentage, Effort in person-months — plus a short summary. Similar products appear underneath when the model names any.
- Turn an idea into a task or a project
- Open an existing idea and click Convert to Task or Convert to Project at the bottom of the dialog. The new item copies the title, description, priority and tags, and the toast links straight to it.
Worth knowing
- An AI expansion or RICE score is not shown again when you reopen the idea: both come back as buttons even though the result was saved, and running Expand with AI again overwrites the stored one. A result you liked is not preserved by reopening.
- Converting also rewrites the idea — it flips the status to Planned and ticks Mark as Implemented. Clicking a convert button twice creates a second task or project; nothing checks for an existing conversion and there is no undo.
Focus Mode
Focus Mode is a Pomodoro-style timer that counts down a focus interval, then a break, with a progress ring and a running count of finished sessions. You can set the interval lengths, pick a task to keep in front of you, and play a looping ambient sound.
- Start and pause the timer
- Press the large round button in the middle of the controls to start the countdown, and press it again to pause.
- Reset the current interval
- Press the circular arrow button to the left of the start button. The countdown jumps back to the full length of whichever mode you are in, and the timer stops.
- Switch between Focus and Break yourself
- Use the Focus and Break tabs above the ring. Switching stops the timer and loads the full length of the mode you picked, so any time left in the current interval is discarded.
- Change how long an interval runs
- In Durations pick a focus length (15, 20, 25, 30, 45 or 60 minutes) or a break length (5, 10 or 15); the same choices sit in the Settings dialog behind the gear icon. These buttons are disabled while the timer runs, so pause first, and a new length only applies to the countdown immediately if it belongs to the mode you are in.
- Play an ambient sound
- Choose Rain, Fire or Cafe under Ambient Sounds, or None to silence it. Audio plays only while the timer is actually running, loops quietly, and stops the moment you pause. The clips stream from an external site, so nothing plays offline.
Worth knowing
- Nothing on this page is saved. Your session count, total focus minutes, chosen durations, selected sound and the countdown itself live in browser memory only, so reloading or closing the tab resets everything to zero and back to 25/5 minutes. The Stats dialog reads the same in-memory numbers.
- Picking a task under "Focusing On" is only a visual reminder. The task is never attached to the finished session and nothing about the task is updated, so a completed focus session leaves no record on it.
- The task picker ignores the workspace switcher and mixes open tasks from both workspaces with no label saying which is which. It also lists only top-level tasks, so subtasks never appear.
Settings and your account
Settings is where you set up the app itself: which workspace you are in, how it looks, your monthly spending target, the PIN lock, which emails you receive, and getting your data out. Profile is separate and covers your name, avatar, password and sign-out.
- Switch between the Personal and Work workspaces
- Use the two-button control at the top of the sidebar, or in the header bar on a narrow screen, and most pages refilter to that workspace. Your choice is remembered. Note that the "Workspace & Sync" card in Settings only reports which workspace is active — it has no switch — and the sidebar control disappears while the sidebar is collapsed.
- Change the app's theme
- Pick Light, Dark or System under Appearance. The change applies immediately, and System follows your operating system.
- Set a monthly budget target
- Type an amount into Monthly Budget Target and press Save; the Budget page then measures the month's spending against it. Clear the field and save again to remove the target, which is not the same as setting it to zero.
- Lock the app behind a 4-digit PIN
- Open the Security card, choose Enable, type the same 4-digit PIN twice and press Set PIN. You can then pick an auto-lock delay of 1, 5, 10 or 30 minutes, use Change PIN to replace it, or Disable to turn it off. The lock screen submits by itself on the fourth digit, and a wrong PIN shakes the dots and clears them.
- Choose which notifications and emails you get
- Open Notifications and use the switches. Push and Email are the two master switches, and the indented list below controls individual emails such as deadline reminders, the daily digest, budget alerts and the weekly summary. Each switch saves as soon as you flip it, and reverts with an error toast if the save fails.
- Export everything in your account
- Under Data & Privacy press Export, and your browser downloads a dated JSON file covering tasks, projects, notes, people, ideas, budget, trips, calendar events and your settings.
Worth knowing
- The App Lock PIN is stored in the browser you set it in, not on your account, so it does not protect the app on your other devices and clearing site data removes it. If you forget it, the only way past the lock screen is "Forgot PIN? Sign out", which clears the PIN and signs you out.
- The monthly budget target is one number for your whole account rather than one per workspace, and the Budget page only draws it in the monthly view.
- Delete Account is the one truly permanent action in the app. Everywhere else a delete just marks the record as deleted; this removes your user row outright. The export also leaves out anything you had already deleted, so export first if you want a copy.
